HOA Procurement and Budget Cycle Support

Most HOAs in our service area build budgets between August and October for the following calendar year, with vendor RFPs issued between October and December. We work inside that cycle:

  • August – October: Free site walks and budget-planning estimates. We will walk your common areas with the property manager or facilities chair, document conditions, and provide line-item budget numbers for the board’s planning packet.
  • October – December: Formal RFP response. Detailed proposals, scope clarification, on-site walk-throughs with the selection committee, and references at the proposal stage.
  • January – February: Onboarding for awarded contracts. Service schedule confirmed, escalation contacts exchanged, first-visit completion photos delivered.

Boards reviewing vendor performance mid-cycle: we also accept mid-contract takeovers when an existing vendor is underperforming. We can scope the work, deliver a transition plan, and have crews on-site within two weeks of a board decision.

Two-day blitz covering all common areas of a 280-unit community ahead of the annual spring property inspection. Mowing, edging, mulch refresh in entrance beds, debris haul-off from a winter storm, walking-trail clearing. Single PO, single invoice, documented completion photos to the property manager.

Post-Storm Tree Response – North Stafford

Ice storm dropped multiple trees across common-area pathways and one across a community-owned shed roof. On-site within four hours of dispatch under existing storm-response contract. Trees cleared, stumps ground, debris hauled, structural damage documented for the property manager’s insurance claim. Property manager’s adjuster accepted our documentation on the first submission.

Common-Area Drainage Correction – Spotsylvania

Pool-area parking lot had a low spot that ponded after every rainstorm and was creating slip hazards. Re-graded the lot edge, installed a French drain, restored the asphalt approach with millings. Project completed in two crew-days during a community low-use weekday. Standing water issue resolved.

Mid-Contract Takeover – Fredericksburg-Area HOA

Existing mowing vendor was missing visits and ignoring property manager escalations. Onboarded inside three weeks, recovered the property condition with two catch-up visits in the first week, established weekly photo-documented service. Contract renewed.

HOA Vendor FAQ

Can you provide a Certificate of Insurance with our HOA and property manager listed as additional insureds?

Yes. We provide COIs same-business-day on request, with additional-insured endorsements naming the HOA, the management company, or both as required. Send the exact naming language from your insurance compliance requirements and we will issue the certificate to match.

Do you respond to RFPs?

Yes. Send your RFP package to us and we will respond inside the stated window. We provide detailed scope responses, line-item pricing, response-time commitments, references, and an in-person walk-through with the selection committee on request.

How fast can you mobilize on a new HOA contract?

Once a contract is signed, we onboard inside two to three weeks for routine maintenance contracts and inside one week for storm-response or emergency-takeover contracts. Service schedule, escalation contacts, and first-visit completion are confirmed in writing.

Do you carry workers’ compensation insurance?

Yes. Workers’ comp documentation provided on the same COI as general liability, or as a separate certificate if your compliance requirements need it.

Can you bill the property manager and route payment through the HOA?

Yes. Most of our HOA work bills directly to the property management company on net-30 terms, with the management company handling reimbursement from the HOA’s operating account. We can also bill the HOA directly if your reserves or operating structure requires it.

What is your guaranteed response time for storm events under contract?

Standard contracted storm response is four hours for hazardous-condition calls (tree blocking access, tree on a structure) and same-day for non-blocking storm cleanup. We can tighten response-time commitments in the contract if your community requires it – priority dispatch ahead of residential work is included.

Do you provide photo documentation of completed work?

Yes. For recurring maintenance contracts we provide before-and-after photo confirmation on each visit, delivered via email or your preferred reporting channel. For incident response (storm work, repair projects), photo documentation is delivered with the invoice and includes the level of detail an insurance adjuster will accept.

How do you handle resident-facing situations?

Our crews work to your community’s documented rules – noise hours, contractor-vehicle parking, gate access, dumpster placement. If a resident approaches the crew with a request that is outside the scope of our contract with the HOA, the crew politely refers them to the property manager. We do not perform out-of-scope work without written authorization from your management contact.

Do you have references from current HOA clients?

Yes. References are included in the vendor packet on request. We can provide references from comparable communities in your size range and from the property management companies we work with regularly.
